1. Introduction

AVS Holdings LLC d/b/a UnifiedBizTools ("UnifiedBizTools," "Company," "we," "us," or "our") provides websites, CRM setup, automations, follow-up systems, missed-call text-back, AI-assisted tools, and related subscription services for local businesses. This Privacy Policy explains how we collect, use, disclose, and protect personal information through our websites, checkout pages, forms, CRM systems, communications, and Services.

We are a California-based business and handle personal information in accordance with applicable privacy laws, including the California Consumer Privacy Act as amended where applicable.

2. Information We Collect

Information you provide directly:

  • Name, business name, role, email address, phone number, and mailing address.
  • Website URLs, service areas, industry, business details, support requests, and onboarding information.
  • Customer, lead, appointment, pipeline, and communication data you provide or import into connected systems.
  • Billing information and transaction details processed through Stripe or another payment processor.
  • Messages, forms, call notes, recordings, reviews, files, and other content you choose to submit.

Information collected automatically:

  • IP address, browser type, device information, operating system, approximate location, and referral source.
  • Pages visited, clicks, form submissions, session activity, cookies, pixels, and analytics events.
  • Session replay, heatmap, click, scroll, and website interaction data when Microsoft Clarity or similar analytics tools are enabled.
  • Bot/spam protection signals processed by Cloudflare Turnstile when lead forms or checkout pages use Turnstile.
  • Email, SMS, call, booking, and automation activity such as opens, clicks, replies, opt-outs, and delivery status.
  • When you call a number answered by our virtual AI assistant, or start the voice demo on our website: your phone number or browser session, an audio recording of the conversation, a written transcript, an AI-generated summary, and details you state during the call such as your name, business name, trade, website, email, and what you are calling about.

Information from third-party services:

  • CRM and account data from our CRM platform and other connected platforms.
  • Payment status, subscription status, and billing events from Stripe or other processors.
  • Analytics, advertising, communication, hosting, phone, email, domain, AI, and integration providers.

3. How We Use Information

We use information to:

  • Provide, configure, maintain, secure, and improve the Services.
  • Set up websites, CRM accounts, workflows, automations, calendars, forms, funnels, and communication tools.
  • Process payments, manage trials, subscriptions, invoices, failed payments, cancellations, and account status.
  • Communicate about onboarding, support, billing, account updates, product changes, and service notices.
  • Send marketing or follow-up communications where permitted by law and applicable consent rules.
  • Analyze performance, troubleshoot issues, prevent fraud, enforce terms, and comply with legal obligations.
  • Use AI or automation tools to draft, summarize, classify, route, or assist with business operations where enabled.

4. Third-Party Services

We use third-party providers to deliver the Services. These providers may process information under their own terms, privacy policies, security practices, and data-processing rules.

CRM and business automation platform

CRM, websites, funnels, automations, calendars, forms, conversations, and related account infrastructure.

Stripe and payment processors

Checkout, subscriptions, invoices, payment status, and transaction processing. We do not store full card numbers.

Communication providers

Phone, SMS, email, messaging, deliverability, opt-out handling, and call-related services.

Microsoft Clarity

Website analytics, heatmaps, session replay, click activity, scroll activity, cookies, pseudonymous identifiers, and performance troubleshooting.

Product analytics platform

Product analytics and conversion measurement, including pageviews, clicks, funnel and event activity, cookies, and pseudonymous identifiers used to understand how visitors move through the site. We do not create a personal profile for anonymous visitors through this tool.

AI voice platform and providers

Virtual assistant answering and the website voice demo, including call handling, audio recording, storage, speech-to-text transcription, AI-generated call summaries, and structured call details. These are delivered through an AI voice platform together with its underlying speech-to-text, synthesized-voice, and AI model providers.

Meta (Facebook and Instagram)

Advertising delivery, lead forms, measurement, and attribution through Meta Business Tools such as the Meta Pixel and Conversions API when configured. Meta may receive page and event activity, device and browser data, IP address, cookies, click identifiers, and pseudonymous or hashed identifiers used to match and measure ad outcomes. Information submitted through a Meta Instant Form is collected by Meta and transferred to us and our CRM under the notices shown on that form.

TikTok

Advertising measurement when TikTok ads are running, including pixel events for page views, primary button clicks, and call or text taps, plus cookies and pseudonymous identifiers used to attribute ad performance. We do not send your name, phone number, or email to TikTok through this pixel.

Cloudflare Turnstile

Bot and spam protection for forms, including challenge verification and related technical signals used to distinguish legitimate visitors from automated abuse.

Hosting, analytics, AI, and integration providers

Website hosting, analytics, automation, AI assistance, APIs, data storage, and workflow integrations.

5. Sharing of Information

We do not sell personal information. We may share information:

  • With service providers and platform partners needed to deliver the Services.
  • With your authorized users, team members, vendors, or integrations at your direction.
  • To comply with law, legal process, regulatory requests, carrier rules, platform requirements, or tax obligations.
  • To protect our rights, systems, users, customers, vendors, reputation, safety, and property.
  • In connection with a merger, acquisition, financing, restructuring, or sale of business assets.

We do not sell SMS opt-in information. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, excluding vendors and service providers acting on our behalf solely to deliver the messages you requested (such as our messaging platform and carriers).

If we later use advertising or retargeting tools that are considered a "sale" or "sharing" under applicable privacy law, we will update this policy and provide any required opt-out mechanism.

6. Customer Data

Customers retain ownership of their business and customer data, subject to the Terms of Service and applicable law. We process customer data to provide, support, secure, and improve the Services. After cancellation or account closure, we may retain data for a limited period to support reactivation, export, billing, compliance, dispute resolution, fraud prevention, and legal obligations.

7. Data Retention

We retain personal information for as long as needed to provide the Services, maintain business records, comply with law, resolve disputes, enforce agreements, prevent abuse, and support legitimate business purposes. Account data may be deleted or disabled after cancellation, nonpayment, or termination subject to technical limitations, third-party platform rules, unpaid balances, and legal requirements.

8. Communications and Opt-Outs

We and our customers may use email, SMS, phone, voicemail, forms, chat, and other communication channels. Marketing communications may be subject to consent, opt-out, carrier, email, and platform rules. You may opt out of marketing emails using unsubscribe links where available or by contacting us. SMS opt-out instructions may include replying STOP.

If you opt in to receive text messages from UnifiedBizTools, we may use your phone number and messaging activity to send audit, demo, onboarding, support, billing, and service-related messages. Message frequency varies. Message and data rates may apply. See our SMS Terms.

Virtual AI assistant calls, recording, and transcription

Some calls to UnifiedBizTools are answered by a virtual AI assistant rather than a person, and the voice demo on our website is the same kind of AI assistant. At the start of the conversation the assistant states that it is AI and that the call is recorded and transcribed. If you continue the conversation after that disclosure, you are consenting to being recorded and transcribed.

These conversations are recorded as audio, converted to a written transcript, and summarized automatically. We use the recording, transcript, summary, and the details you provide to understand your inquiry, create or update your contact record and follow-up tasks, route or transfer the call, and improve how the assistant handles calls. Recordings and transcripts are handled under the retention practices described above and are not published or sold.

If you would rather not be recorded, you have options: ask to speak with a person, end the call and contact us by text or email at info@unifiedbiztools.com instead, or simply do not start the voice demo on our website. You may also contact us to request access to or deletion of a recording or transcript associated with you, subject to the verification and legal exceptions described in this policy.

9. Cookies and Tracking

Our websites and connected pages may use cookies, pixels, local storage, analytics tools, and similar technologies to operate the site, remember preferences, measure performance, improve marketing, and understand usage. You can control cookies through your browser settings, though disabling cookies may affect functionality.

Microsoft Clarity and similar tools may use cookies and identifiers to help us understand how visitors interact with our websites and proof pages. These tools may generate heatmaps and session recordings. We aim to mask sensitive fields and avoid intentionally collecting sensitive personal information through session replay. If required by applicable law or regional rules, consent controls may be used before analytics cookies or session recording tools are activated.

When Meta advertising is enabled, Meta Business Tools may use cookies, click identifiers, and event data to measure whether an ad led to a page visit, persisted lead, or confirmed booking and to improve ad delivery. Our browser Pixel events do not intentionally include clear-text names, phone numbers, or email addresses. Server-side measurement may use hashed contact identifiers and event data where configured. You can review or change Meta ad preferences through the controls in your Facebook or Instagram account, including Meta Ad Preferences.

We may use Cloudflare Turnstile to protect forms from spam, bots, and automated abuse. Turnstile may process technical information needed to verify a visitor or browser session and provide the challenge service.

10. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11. California Privacy Rights

California residents may have rights to request access to, correction of, deletion of, or information about certain personal information, subject to applicable exceptions. To make a privacy request, email info@unifiedbiztools.com with the subject line "Privacy Request." We may need to verify your identity before responding.

Depending on how a service is configured, categories of personal information collected may include identifiers, commercial information, internet or electronic network activity, geolocation approximations, professional or employment-related information, audio recordings and transcripts of calls handled by our virtual AI assistant, and inferences from website or service activity. We use these categories for the purposes described above and retain them only as long as reasonably needed for services, billing, compliance, security, dispute resolution, and legitimate business purposes.

12. Children's Privacy

The Services are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us so we can take appropriate action.

13. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes may be communicated by website notice, email, platform notice, or other reasonable method. Continued use of the Services after changes take effect means you accept the updated policy.
